Example Outline of an Organizational Meeting
1. Call to Order
- The chair calls the meeting to order and confirms that a quorum is present.
2. Welcome and Introductions
- The chair welcomes all members and each member introduces themselves, mentioning their background and their interest in La Finka.
3. Review and Approval of the Agenda
- The agenda for the meeting is reviewed, and any additions or modifications are made and approved.
4. Approval of Previous Minutes
- If this is not the first meeting, review and approve the minutes from the previous meeting.
5. Formation of the Corporation
- The board reviews the Articles of Incorporation that have been filed with the state.
- A motion to ratify the Articles of Incorporation is made, discussed, and voted upon.
6. Adoption of Bylaws
- The proposed bylaws are reviewed article by article.
- Discussion on each article as needed, followed by modifications if necessary.
- A final vote to adopt the bylaws.
7. Election of Officers
- Nominations for the positions of Chair, Vice Chair, Secretary, and Treasurer are made.
- Elections are held and results are recorded.
8. Establishment of a Bank Account
- Discussion on the selection of a bank for the organization's accounts.
- Authorization for the Treasurer and Chair to open a bank account in the name of La Finka.
9. Discussion of Initial Assets and Contributions
- Review of initial assets received or pledged to the organization.
- Discussion of their use and management.
10. Appointment of Committees
- Formation and appointment of necessary committees such as Finance, Fundraising, and Programs.
- Assigning board members to lead or participate in each committee.
11. Setting Upcoming Meeting Dates and Goals
- Discussion and setting of dates for future board meetings.
- Outline of major goals for the next quarter or year.
12. Public and Community Engagement Plans
- Strategies for engaging with the community and publicizing the organization.
- Planning upcoming events or initial activities.
13. Adjournment
- The chair adjourns the meeting.
